01
John + China Care
John got in touch.
He left his contact details and a short description of his situation on our website. He could also attach any medical reports he already had, but these were optional. A dedicated coordinator got in touch to discuss his goals and the support we could offer.
Timing & response
First reply within two working days.
Payment & payee
Free. No payment or travel commitment.
If plans change
John could stop here without paying anything or proceeding to a consultation.
02
John + China Care
John considered his doctor options.
We identified potential specialists based on his condition, hospital, language needs and availability, and shared information to help him compare the options. John decided which doctor, if any, he wanted to consult. At this stage, our information and suggestions do not constitute clinical advice.
Timing & response
Initial options targeted within 3 working days of receiving enough information. Hard-to-match cases get an update every working day.
Payment & payee
Free. No charge to consider the options.
If plans change
John had the final say on whether to book a consultation and could pause or stop without charge. If the options do not feel right, we can look for alternatives. Doctor availability and appointment dates are confirmed before booking.
02
Specialist Consultation
Then, talk to the doctor.
USD 200 · One remote session
John spoke directly with his chosen specialist, with translation and language support included.
03
John + Coordinator
John chose a doctor and booked.
He chose a doctor who specialised in his condition. His wife wanted to join the consultation, and John agreed.
His coordinator worked with the doctor to confirm the appointment time, consultation language and cancellation arrangements. John then paid for the session.
Timing & response
We check the doctor’s availability as soon as a patient makes their choice, tell them when to expect our next update, and keep them informed every day until the appointment is confirmed.
Payment & payee
USD 200 to China Care. No extra fees for this session.
If plans change
If John needed to change the appointment, his coordinator could work with the doctor to find another available time.
04
John + Coordinator + Doctor
John’s records were prepared.
He shared his medical reports and a list of questions for the doctor.
Once his booking and payment were confirmed, we translated the records he chose to share and arranged the doctor’s advance review. If the doctor requested more information or recommended further tests, we would let John know so he could arrange them in the UK before his online consultation.
Before sending a patient’s medical information to a doctor, interpreter or anyone else outside China Care, we explain what we will share, with whom and why, and ask for their permission each time.
Timing & response
Once we receive the records, we confirm an expected completion date and prepare them as soon as possible. We flag any issues promptly. In rare cases, if preparation is delayed, we update the patient every day until it is complete.
Payment & payee
Included in the USD 200 already paid to China Care: the doctor’s consultation, record translation, advance review and live language support. No extra payment for this session.
If plans change
Doctors in China generally do not charge a cancellation fee. If a patient cancels, we refund the USD 200 less any costs already incurred, mainly translation. China Care does not charge a cancellation fee.
05
John + Family + Doctor + Interpreter
John met his doctor online.
He met his doctor in an online meeting. His wife joined with his permission. They discussed his condition, treatment options, any further tests and what a trip to China might involve.
Language support during his meeting was included in the USD 200, with no extra charge to John. Our team translated the conversation for him. For other languages, we may arrange an external medical interpreter, subject to availability. External interpreters sign a non-disclosure agreement before receiving patient information. Medical advice comes from the doctor.
Afterwards, we put together a proposal covering his hospital schedule, expected stay, language needs, local support and budget. Hospital charges were shown separately from our support package. Preparing this proposal was free, and John could review it without committing to travel or signing an agreement.
Timing & response
An online consultation usually lasts about 1 hour. We send the journey proposal within 3 working days after receiving the necessary hospital information, with an update every working day if it takes longer.
Payment & payee
Included in the USD 200 already paid to China Care: the doctor’s consultation, record translation, advance review and live language support. No extra payment for this session.
If plans change
Consulting another doctor or booking a follow-up session costs another USD 200 per session. John could decline the journey proposal without owing a planning fee. The completed consultation is not refundable. If the doctor cannot provide the booked session, the patient can choose rescheduling or a refund.

John + Coordinator
John signed when he was ready.
After reviewing his proposal and budget, John decided to proceed.
The agreement set out the package, payment instalments, service stages and refundable amounts. It included a fee for the planning work already completed. We helped with hospital supporting documents and agreed travel arrangements. John booked his own flights and checked his own insurance; we could help provide documents.
Timing & response
Before signing, we agree preparation milestones and dates for each case. The coordinator provides daily updates until the pre-arrival arrangements are confirmed. Travel is planned after confirmation.
Payment & payee
To China Care: USD 4,000 for the agreed coordination and support package, including team services and local arrangements. Payment timing is agreed in writing.
If plans change
If John cancelled after signing, the following refund principles would apply. We refund prepaid fees for services not yet provided, less any supplier cancellation charges or other supplier costs we cannot recover. Work already completed, including planning and coordination, remains payable.
07
John + Coordinator + Hospital
John arrived, with someone to contact.
Before he travelled, we helped John compare flight options and choose an arrival time that worked well for his airport transfer and hotel check-in. We also shared the weather forecast for his destination and practical packing tips to help him prepare.
We arranged his airport pickup, local transport and a hotel close to the hospital. We also helped him get a Chinese SIM card ready to use on arrival.
During his stay, John had a fixed contact and a backup contact. On-call coordination is available from 08:00 to 23:00 Beijing time, including weekends. In-person accompaniment followed his agreed plan. English-language support and local arrangements followed his agreed package. Any additional interpreter or supplier services would be confirmed with him before booking.
Timing & response
Non-emergency messages acknowledged within 2 hours during the in-China service window. Urgent medical needs go directly to the hospital or local emergency services.
Payment & payee
Included in his USD 4,000 coordination and support package. The agreed hotel, transport, meals and local assistance were itemised in his quote.
If plans change
If John stopped after arrival, the following refund principles would apply. We refund prepaid fees for services not yet provided, less any supplier cancellation charges or other supplier costs we cannot recover. Work already completed, including planning and coordination, remains payable.
08
John + Treating clinical team
John was assessed and treated at the hospital.
The treating doctor assessed John in person and explained the recommended treatment.
John discussed how treatment would proceed with his doctor, including the procedure, timing and recovery plan. We helped with communication and coordinated the practical arrangements around his care.
If a medical decision changed the support he needed, such as a longer or shorter hotel stay outside the hospital, we would explain the change and any price adjustment to John and get his approval before updating the arrangements.
Timing & response
The hospital sets the assessment, treatment and recovery schedule for each case. The coordinator shares expected dates and provides daily updates during the stay, including any changes to the plan.
Payment & payee
Medical bills are paid directly to the hospital. China Care collects the agreed package fee, including any approved price adjustments.
If plans change
If John chose not to continue with a revised treatment plan, he could stop. We refund prepaid fees for services not yet provided, less any supplier cancellation charges or other supplier costs we cannot recover. Work already completed, including planning and coordination, remains payable. Hospital refunds follow the hospital’s own policy, and we help patients with their requests.
09
John + Coordinator + Hospital
John prepared to return home.
He needed records he could understand and information his doctor at home could use.
We helped collect the available discharge records, imaging, invoices, medication information and follow-up instructions, with translation covered by his agreed quote. His recovery support depended on his condition and the doctor’s advice. Clinical readiness for travel is decided by the medical team.
Timing & response
We aim to prepare the document pack within 3 working days after the necessary hospital records are available. Large record sets get daily progress updates.
Payment & payee
Included in his agreed coordination and support package. Any additional local services would be confirmed with him before booking.
If plans change
If John cancelled partway through this stage, the following refund principles would apply. We refund prepaid fees for services not yet provided, less any supplier cancellation charges or other supplier costs we cannot recover. Work already completed, including planning and coordination, remains payable. Hospital charges and refunds remain separate.

John + Coordinator + Treating team
John stayed connected after returning home.
After returning to the UK, John needed an additional medical certificate from the hospital. We contacted the hospital and helped him obtain it.
His package included 30 days of non-clinical support after returning home. His coordinator followed up, passed on questions and helped obtain the agreed documents. Medical advice remains with clinicians; a new specialist consultation is a separate session.
Timing & response
Check-ins within 2 working days of returning home, then on day 7 and day 30. For other requests, we confirm the next update date with the patient. Routine coordination follows Chinese working days.
Payment & payee
The agreed check-ins and coordination are included. A new remote specialist session is USD 200, paid to China Care.
Your situation. Your next step.
You can start with a question.
Your doctor, timing, support and quote will be arranged around your own needs.
Our team is based mainly in China; routine responses follow Chinese working days. If a service target is delayed, we explain why, share a new estimate and provide an escalation contact. Medical advice, treatment and readiness to fly remain with licensed clinicians. For an emergency, contact the hospital or local emergency services immediately.
